How is data obtained?
Data is collected electronically through registration and profile forms, company applications, product and collection actions, downloads, support messages and session/security records. A company representative may provide a user's email address for team access. Processing is limited to the service used; the platform does not request special-category personal data.
Purposes and legal grounds
| Activity and data | Purpose | Legal ground |
|---|---|---|
| Name, email, profile and company/team relationships | Membership, representative authority and service administration | Contract formation or performance: Article 5(2)(c) |
| Content, collections and download records | Providing the selected catalogue and file services | Article 5(2)(c); necessary security assessment under 5(2)(f) |
| Plan, invoice and verified-payment records, where available | Service entitlement, accounting and legal duties | As applicable: Articles 5(2)(c), 5(2)(a) and 5(2)(ç) |

These grounds do not apply indiscriminately to every activity. The conditions relevant to each operation are assessed. If a separate activity requires consent, its purpose and scope must be explained separately. Reading this notice or accepting membership terms does not provide marketing or blanket transfer consent.
Who receives data?
Data may be shared as necessary with hosting, file-storage, email and support providers; authorised company users for company administration; and competent authorities where legally required. Company/product content you publish and collections you make public are accessible online. Domestic transfers are subject to Article 8. Any international transfer is subject to Article 9 and its applicable conditions and safeguards. This notice does not claim that a particular provider has signed a standard contract or is covered by an adequacy decision.
Retention and security
Retention must be limited to what is necessary for the purpose, legal duties and protection of rights. Expiry of a plan hides products; it does not erase every record. Data is deleted, destroyed or anonymised when processing grounds cease to apply. Access and security controls are applied according to the activity's requirements.
Your rights under Article 11
You may ask whether data is processed; request information about processing; learn its purpose and whether use matches that purpose; learn the recipients; request correction of incomplete or inaccurate data; request deletion or destruction under statutory conditions; request notification of corrections or deletion to recipients; object to an adverse result based exclusively on automated analysis; and claim compensation for damage caused by unlawful processing.
How to submit a request
Send a written request to the address above, or email the request address from an email address previously provided and registered in our system. Secure electronic signatures and other methods recognised by applicable rules may also be used. Include your name, request, reply address and legally required identity information. Do not provide information unnecessary for identity verification. A specific application form is not mandatory.
Requests are resolved as soon as possible and within 30 days. If additional processing costs arise, charges may only follow the Board's applicable tariff. If a request is rejected, the reply is inadequate or no reply is received in time, you may complain to the Board within 30 days of learning the reply and, in all cases, within 60 days of the initial request.
